Position Overview
We are seeking a Junior Fleet Financial Administrator / Trainee to support the financial management of our truck fleet operations. This entry-level role is designed for recent matriculants or current BCom students seeking their first professional experience. You will work hand-in-hand with the Fleet Manager, learning the financial side of fleet operations from the ground up. No prior experience required — comprehensive training provided.
Key Responsibilities
Fleet Administration & Data Capture
- › Capture and verify fuel slips, toll receipts, and vehicle expense documentation
- › Maintain accurate mileage and trip records per truck
- › Update vehicle cost sheets with daily expenses (fuel, repairs, tyres, fines)
- › File and organise delivery documentation (PODs, trip sheets, gate passes)
- › Assist with driver advance tracking and petty cash reconciliations
Invoicing Support
- › Prepare draft client invoices from trip sheets and delivery notes
- › Verify rates against client contracts before processing
- › Check Proof of Delivery (POD) completeness and follow up on missing documents
- › Send statements and basic payment reminders to clients (under supervision)
Creditors & Supplier Administration
- › Capture supplier invoices into accounting system (training provided)
- › Match fuel card statements to vehicle logs
- › Prepare payment requisitions for Fleet Manager approval
Basic Bookkeeping & Fleet Costing (Learning Phase)
- › Process daily cashbook entries and petty cash
- › Calculate basic cost-per-kilometer for individual trucks
- › Track monthly fuel consumption vs. budget and compile vehicle expense summaries
- › Assist with bank reconciliations and general ledger transactions under supervision
Qualifications & Experience
Essential
- Matric with Mathematics & Accounting (min 50%)
- Bilingual: English + Afrikaans or English + isiZulu/Xhosa
- Basic computer literacy (Excel; willing to learn pivot tables)
- Valid Code B driver's license or learner's license
Advantageous (Not Required)
- Currently studying towards BCom (Accounting / Financial Management)
- Short course in bookkeeping, Pastel, or Sage
- Any part-time admin or retail experience
